AI Automation ROI Calculator: What Are Missed Opportunities Costing You?

2 min read Updated By 4 The People

Most owners know they miss some calls and leave some leads waiting. Few know what it adds up to. This calculator gives you a rough, honest estimate using your own numbers, and shows exactly how it's calculated.

Calls, texts, web forms and booking requests.

%

Calls that ring out, go to voicemail or never get a reply.

$

Revenue from a typical customer or job.

%

How many answered leads usually become customers.

Adjust the numbers to match your business, then calculate.

How it's calculated: leads × missed % = missed leads; missed leads × re-engaged % × close rate = customers recoverable; customers × average value = monthly opportunity; × 12 = annual. These are estimates based on your inputs. They are not a promise of results.

How does the calculator work?

The math is simple and fully visible:

  1. Missed leads = monthly leads and calls × percentage missed or unanswered
  2. Customers recoverable = missed leads × share automation could re-engage × your close rate
  3. Monthly opportunity = customers recoverable × average customer value
  4. Annual opportunity = monthly opportunity × 12

The "share automation could re-engage" is an assumption, set to 50% by default. Not every missed caller will reply to a text or pick up when you call back. Lower it if you want to be more conservative.

Where do you find good inputs?

  • Monthly leads and calls: your phone system or carrier call log, plus web forms, texts and booking requests.
  • Percentage missed: the missed and abandoned calls in your phone reports, and inquiries that never got a reply. If you don't know, call your own business during busy hours and after close, and be honest about what happens.
  • Average customer value: a typical ticket, job or commission. For repeat businesses like salons, you can use first-visit value to stay conservative, or a year of visits if you track retention.
  • Close rate: of the leads your team actually talks to, how many become customers?

If you're unsure about a number, pick the lower estimate. A conservative result you believe is more useful than an impressive one you don't.

What does a worked example look like?

An illustrative example, not a benchmark: a business with 200 leads and calls a month misses 25% of them, so 50 go unanswered. If automation re-engages half of those (25) and the business closes 30% of the leads it talks to, that's 7.5 customers a month. At an average value of $300, the estimate is $2,250 a month, or $27,000 a year.

What doesn't the calculator include?

On the upside, it leaves out several real benefits:

  • Staff time saved on phone tag, reminders and rescheduling
  • Fewer no-shows from confirmations and reminders
  • More reviews from consistent requests
  • Repeat visits and referrals from customers you kept

On the cost side, it doesn't subtract the price of automation: the monthly plan, implementation and any voice or text usage.

How do you compare the estimate to the cost?

Put the monthly opportunity next to the monthly cost. For example, our AI Starter plan starts at $497/month plus implementation starting at $750, and covers one primary automation such as missed-call text back. If your estimate is several times higher than the plan price, it's worth a closer look. If it's close, focus on getting better inputs first.

What's the next step?

A calculator can only work with estimates. Our free AI audit looks at your real call and lead data, confirms which opportunities are recoverable and gives you a clear recommendation and price.

Frequently asked questions

How accurate is the ROI calculator?

It's only as accurate as the numbers you enter, and it's meant for rough planning. It deliberately includes an adjustable assumption for how many missed leads automation could re-engage, so you can be as conservative as you like.

Does the calculator include the cost of automation?

No. It estimates the opportunity. Compare the result with the plan price, implementation and any usage charges to judge whether automation makes sense for you.
